Work it out
What does chasing cost you?
Your figures
Fill in both boxes and your figure appears here.
Most practices have never costed it, because it is not one job: it is ten minutes here and a phone call there, spread across every person on the team and every week of the year. The chasing is real work. It is simply never billed.
What we keep seeing
We have spent a year trying to reach accountancy practices. Mostly we could not.
Across the practices we have worked with and approached over the past twelve months, the same thing happens. Someone rings. Nobody picks up. The call back comes two or three days later, and often it does not come at all.
Nobody in those practices is being careless. The phone rings while three people are in a meeting about a filing deadline, and by the time anyone is free the note has gone cold. It is the busiest firms this happens to most.
The part worth knowing is that you cannot see it from the inside. You only ever meet the clients who got through. We can watch your practice the way a prospective client does, and tell you what actually happened.
The chasing
Your clients hold the deadlines. Your team does the chasing.
Records, signatures, confirmation statements, identity checks, the information you cannot file without. Every one of them sits with a client who has not sent it yet, and none of them move until somebody asks. That somebody is currently your team, one client at a time, as unbillable admin.
Our systems do the asking. Every deadline across the book, chased on a schedule rather than when someone remembers, logged as it lands, and priced so you can re-bill it.
The Leak Check
We find where you could be losing money between someone finding you and someone paying you. Then we show you what it would take to seal it.
A short report and a 20 minute walkthrough. Inside it:
- Where you show up for the searches that matter.
- What happens when someone tries to contact you. We test it ourselves, dated and timestamped.
- How you compare against three named local competitors, on identical tests.
- What the gaps could be costing, worked out from your own figures, with the sums shown.
- The three fixes we would make first, in order of what they are worth.
Plus every deadline exposure across your client book, and the chases your team is carrying by hand, from your own client data.
Yours to keep, whatever you decide.
Free. No card, no access to your systems, no obligation.
The method
We start with the leak that costs you most.
The free Leak Check shows you where enquiries and fees are leaking out of your practice. The S.E.A.L. System is how we seal them, starting with whichever one is costing you most, which is rarely the first.
Seen
When a business owner searches for an accountant, they find you, not the practice down the road.
We get almost everything by referral.
What that means
Your listing, your site and the answers people now get from AI assistants before they ever click. Most of the decision happens here, before anyone contacts you, and it is the part almost nobody is measuring.
Say 40 people a month search for what you do. If you are not on the first page you are not in the running for any of them: and not one of them shows up in your enquiry log, so nothing looks broken.
Enquire
Every visit has one clear, fast way to reach you. No dead ends, no buried contact form.
We get visitors, but hardly any of them enquire.
What that means
One obvious next step on every page, on a phone as much as a desktop. Where campaigns run, the advert and the page it lands on are built together rather than bought from two suppliers who blame each other.
100 visits to a page where the phone number is three taps down. The half-decided ones leave. They never become an enquiry, so they never appear in anything you count.
Answered
Every enquiry gets an instant response: evenings, weekends, and the whole of January.
We are busy, but we have no idea how many we miss.
What that means
Phone, web form, email, SMS and WhatsApp, answered at the times a prospective client actually gets round to asking. The right ones are qualified and booked; the rest never reach your desk.
10 enquiries a month you never get to, at a £2,000 annual fee, is £20,000 of recurring work, and it recurs for whichever practice did answer.
Lifetime
Onboarded, chased, retained, and every month you see exactly what it was worth.
We win them, and then the work eats the margin.
What that means
Onboarding, record requests and the deadline chasing that otherwise eats your team's week. Then the part most practices never see: what each new client was actually worth across the year, not just at signup.
Sign 20 clients a year and lose 4 of them in a slow, manual onboarding. At £2,000 a year each that is £8,000 of recurring fees gone before the first invoice.
And what Lifetime learns makes Seen sharper every month.
What practice owners ask first
Is this marketing? We get our clients by referral.
No, and that is the point. Most practices we speak to do not have a demand problem, they have a serving problem: the week disappears into asking people to send things. That is what we automate. If you later want help winning clients too, that is a separate conversation and we will say so rather than bundling it in.
We already have practice management software. Is this more of it?
Your practice management system holds the records. It does not get them in the door. The gap between “we asked” and “they sent it” is where your admin hours go, and that gap is the only thing we fill.
Can we bill this on to clients?
Most practices do. Identity verification in particular is a statutory requirement with a fixed deadline, and it is routinely billed to the client as a service. The chasing stops being an unbilled cost on your side and starts being a line on an invoice.
Do we own it, or are we renting it?
You own it. The automation runs on infrastructure registered to your practice. If our relationship ends, it keeps running and you keep the data, the opposite of a subscription.
What does it cost?
A monthly platform fee plus a small charge per completed chase, so the cost scales with the work it removes rather than with a guess about your size. We are validating the exact figures with practices now and will quote them plainly rather than publish a number we might have to move. The Leak Check is free either way.

Find out what's recoverable in your practice
We contact your practice the way a prospective client would, by search, phone and web form, then show you the fees you could be winning. Scored on three things: are you found, is the enquiry answered, does anyone chase it.
